Tasks Workstream Group Meetings 12-05-2026

BIMINAM TASKS WORKSTREAM MEETING, 12-05-2026

The meeting focused on defining and organizing the “Tasks Workstream” related to the Golden Thread and ISO 19650 information management processes. The core aim is to break high-level activities into measurable, structured tasks that can later populate a Master Information Delivery Plan (MIDP) using the Morta Platform.

Key Objectives Discussed

  • Establish a clear understanding of the difference between:
    • Activities → broader processes or categories of work
    • Tasks → finite, measurable units of work with a tangible output
  • Build a standardized task database aligned with:
    • ISO 19650
    • Golden Thread objectives
    • industry standards and classifications
  • Enable volunteers to directly input tasks into Morta for later analysis and reporting.

Franco’s Proposed Workflow

Franco outlined a 3-phase process:

  1. Collection Phase
    • Volunteers enter tasks into Morta
    • Estimated participation: ~80 volunteers
    • Potentially ~800 tasks collected
  2. Analysis / Normalization Phase
    • Review duplicate tasks
    • Standardize terminology, taxonomy, and metadata
    • Align tasks with relevant standards
  3. Reporting Phase
    • Produce findings and insights
    • Identify common industry tasks
    • Highlight gaps, issues, and process improvements

The group agreed that task quality and standardization are critical to avoid generating unusable or inconsistent data.

Important Concepts Clarified

A major part of the meeting centered on defining what qualifies as a task:

  • A task must:
    • have a clear output,
    • relate to creation or consumption of information/data,
    • and not be endlessly decomposable.
  • Examples discussed:
    • “Create Task Information Delivery Plan” = valid task
    • “Select preferred manufacturer products” = task with tangible output
  • Activities are considered higher-level groupings made up of multiple tasks.

Standards and Classification

Participants emphasized the importance of:

  • aligning tasks with standards such as ISO 19650,
  • potentially using systems like Uniclass for classification,
  • and ensuring all submitted tasks reference applicable standards through metadata fields in Morta.

Morta Platform & Volunteer Coordination

The team confirmed:

  • Nearly 80 volunteers are already loaded into Morta
  • A discrepancy exists between Morta users and existing volunteer lists
  • Franco and Richard will reconcile these lists before kickoff
  • Instructions and onboarding documentation will be prepared for volunteers explaining:
    • how to access Morta,
    • how to input tasks,
    • metadata requirements,
    • and project expectations.

Next Steps Agreed

  • Franco will prepare a structured “package” including:
    • methodology,
    • definitions,
    • instructions,
    • and standards guidance.
  • One-to-one sessions will then be held with volunteers to:
    • clarify expectations,
    • gather specialist input,
    • and improve engagement.
  • A follow-up group session will occur after the preparation work is complete, likely within the next two weeks.
